A CLEAR MONTHLY ROUTINE
Submit. Review. Move on.
Give your team a shared process for the information you need each month.
- Employees submit their monthly hours
- Managers approve or return timesheets
- Leave requests and decisions stay together
Start with your team. Accountant access is optional.
STILL PULLING IT ALL TOGETHER?
Hours in a spreadsheet. Leave in your inbox.
When information is spread across files and messages, even a small team can mean a lot of checking. Which timesheet is ready? Has that leave request been approved? Where did that document go?
Give your team one place to submit—and you one place to review.
A WORKFLOW YOUR TEAM CAN FOLLOW
From submitted hours to a recorded decision.
Employees enter hours in a monthly timesheet. Managers review the submission and approve it or return it for changes. Leave requests have their own approval process in the same workspace.
How the monthly timesheet workflow works
- 01
Employees submit
Enter hours and submit the month for review.
- 02
Managers review
Approve the timesheet or return it for corrections.
- 03
Keep the record
Refer back to the recorded decision when preparing your monthly handoff.
The everyday admin behind a better month-end.
MONTHLY TIMESHEETS
A whole month, ready for review.
Employees enter hours and submit the month together. Managers approve or return it, so the decision stays with the submission.
LEAVE & APPROVALS
Leave decisions with a paper trail.
Keep requests, dates and approval decisions in the workspace instead of searching through messages.
DOCUMENTS & ACCESS
The right records for the right people.
Keep staff documents in their designated area, with role-based access. Invite your accountant if you also want to share month-end records.

Before you bring your team in
Who is this for?
Small UK businesses that want a shared place for monthly hours, leave requests and staff documents. It is especially worth exploring if your team currently handles these across spreadsheets and email.
Do I need an accountant to use it?
No. Your business can use timesheets, leave and staff documents on its own. You can invite an accountant later if sharing month-end records is useful.
Will my employees need accounts?
Yes. Employees need accounts to submit hours and request leave. Managers use their own accounts to review submissions and requests.
Does it track time spent on client projects?
BookkeeperHR currently focuses on monthly staff timesheets and approvals. It is not a project profitability or billable-time reporting tool, and it has no running timer or GPS tracking.
Does it run payroll or connect to Xero or QuickBooks?
No. BookkeeperHR does not calculate payroll, submit HMRC returns or currently integrate with Xero or QuickBooks. Keep your existing payroll and accounting tools.
Will it stay free?
It is free during early access, with no card required. We intend to introduce paid plans later. We’ll explain the pricing before you decide whether to continue.
Who can see staff information?
Access depends on workspace membership and role. Uploaded documents use private storage. An authorised workspace owner accepts the customer agreement, including the DPA, before customer data is added. See our privacy notice for details.
Can I get help setting it up?
Yes. Email us using the setup-help link above. The founder can help with your workspace and the first monthly workflow.
